What You’ll Do
This role touches many areas of our day-to-day operations. You’ll support communications, organize files, manage schedules, and help improve processes using smart tools — all while keeping an eye out for what can be improved or automated.
While no two days will be exactly the same, your core responsibilities will include:
- Managing email communications — filtering, prioritizing, and drafting responses to ensure timely follow-up and a clear inbox
- Scheduling and managing calendars — booking meetings, coordinating availability across time zones, and sending reminders
- Researching and booking travel — including flights, accommodations, and transportation based on preferences and budgets
- Organizing files and digital assets — using Google Drive, Notion, or Dropbox to maintain clean, easy-to-navigate structures
- Entering and updating data — from spreadsheets to customer records or internal databases
- Creating simple reports — such as weekly task summaries, expense logs, or research briefs
- Preparing slide decks and presentations — using Google Slides or Canva, formatting content for meetings or client use
- Supporting basic bookkeeping — tracking receipts, organizing transactions, and updating financial records
- Maintaining contact lists — keeping client, partner, and vendor details up-to-date and supporting personalized outreach when needed
- Setting up email autoresponders — for out-of-office replies, lead follow-ups, or campaign sequences using platforms like Gmail or MailerLite
- Conducting online research — summarizing insights on competitors, tools, trends, or potential vendors
- Coordinating meetings — sending invites, preparing agendas, sharing materials, and ensuring a smooth experience
- Formatting documents — polishing materials for internal or external use and preparing files for distribution
You’ll also be encouraged to explore and experiment with modern AI tools. We use platforms like ChatGPT, Gemini, Claude, and Perplexity to streamline content, improve clarity, and enhance productivity — and we’ll look to you to help identify how these tools can be used effectively in day-to-day work.
What You Bring
Must-Haves:
- At least 1 year of experience as a Virtual Assistant, Administrative Assistant, or in a similar support role
- Strong communication and writing skills
- Excellent organizational habits and attention to detail
- Comfort working independently in a fully remote, asynchronous environment
- Quick learning curve with digital platforms and cloud-based tools
- Experience using AI productivity tools like ChatGPT, Gemini, Claude, or Perplexity
- Familiarity with Google Workspace, Notion, Slack, Zoom, and Dropbox
- Ability to manage multiple tasks without needing close supervision
- Basic experience with writing, editing, or formatting content
Nice to Have:
- Familiarity with project management tools like ClickUp, Asana, or Trello
- Experience with email marketing or newsletter platforms like Beehiiv or MailerLite
- Exposure to workflow automation tools (e.g., Zapier, Make, or similar)
- Experience supporting light bookkeeping or financial tracking
- A general interest in AI, no-code tools, and process optimization
